Roby Business Systems

AI automation · AI agents · document intelligence · custom software

You know the problem. You don't need to know the technology.

Tell me what is slow, repetitive, scattered or difficult in your business. I design and build AI applications, workflow automations, SaaS products, custom software and business systems that solve it.

You bring the problem. I help design and build the solution.

What Roby Business Systems builds

AI applications, automation and custom systems for real business problems.

AI applications, workflow automation, custom software, SaaS development, business systems, document intelligence and AI agents. Each starts with a process that is costing you time and ends with software that does the work.

How automation actually works

Your systems already hold the information. What is missing is the work between them.

Nothing here is exotic. The data exists in your email, your messages, your spreadsheets and your documents. A person moves it, checks it and remembers it — and that person is the bottleneck, the cost and the source of the mistakes.

Where it arrives

  • Email
  • WhatsApp
  • Documents and PDFs
  • Spreadsheets
  • CRM
  • APIs and databases

What happens next

  • Extract the invoice
  • Update the record
  • Generate the quote
  • Answer the customer
  • Alert the right person
  • Produce the report

You will know if this is you

Some of these will sound like your Tuesday.

These are the shapes that come up again and again. If two or more feel familiar, there is almost certainly something worth automating.

You do not need to know which technology fixes it. That part is my job.

  • Somebody retypes information that already exists somewhere else
  • A quote or a report is assembled by hand every time one is asked for
  • Answering a question means opening a long document and reading
  • The real system is a spreadsheet only one person dares to edit
  • Work waits because the person who moves it forward has not seen it yet
  • The same mistake happens at the same step every month
  • Renewals and deadlines are remembered by luck
  • Information lives in messages, and leaves when the person does

Built, not just imagined

Solutions I've built.

Real applications and systems, built to solve real problems. Two are my own products. One was built for a client.

SaaS products

Complete standalone products, mine end to end.

AskRoby

Document intelligence

Important information sits scattered across contracts, receipts, manuals and policies. AskRoby reads them, organises them, and answers questions about them.

Contract management with AI

Contract management falls apart when deadlines, information and recurring processes are handled by hand. This is the system that holds them instead.

Website, chatbot and automated quotes

A 130-year-old ice cream business with no website, customers unsure where the shops were, and event quotes calculated by hand. Now the quote arrives in seconds, by WhatsApp and email.

Tools

Small applications that each solve one problem completely.

Start smaller than a project

An automation audit, before anyone builds anything.

Most businesses do not need a system yet. They need to know which of their processes is quietly the most expensive, and whether software would actually fix it. That is a short piece of work on its own, and it is where 20 years of operations counts for more than any framework.

  1. 01

    Map

What actually happens today, including the steps nobody writes down and the exceptions everybody works around.

  2. 02

    Measure

What each one costs in hours, in errors, and in work that waits.

  3. 03

    Rank

What is worth automating, what is worth leaving alone, and what needs the process fixed first.

  4. 04

    Plan

A roadmap you own — usable whether I build it, someone else does, or nobody does.

Sometimes the honest answer is that software is not the fix. You get told that too.

Technology and integrations

The technology gets chosen around the problem, not the other way around.

These are the tools I build with. They matter far less than what they are pointed at — and if your problem is better solved by something not on this list, that is what you will be told.

Why me

I learned the problems before I learned to build the solutions.

The longer version

For 14 years I ran La Tejedora Distrito Creativo in Cumbayá — more than 50 businesses, 53 tenants, and 30 contracts whose rent changed every two or three months. Before that, over 20 years in operations, commercial management and pricing.

The products on this site came out of that: producing a contract took 60 to 120 minutes, and it now takes about 30 seconds. I built the tools for my own problem first.

You work directly with the person who designs and builds your solution. No account managers, no handover, no telephone game between the problem and the person solving it.

Why these products exist

I built the tools for a problem that was costing me hours every week.

53 tenants. 30 of those contracts carried tables that changed the rent every two or three months. Contracts ran past 40 pages, and when somebody asked a question, nobody remembered the answer.

Before

After

  • Open the contract to check a rent increase

Every increase visible at a glance

  • A spreadsheet that was wrong the moment rents shifted

    The system holds the dates

  • Dig through 40 pages when a tenant asks

Ask a question — or send them the link so they ask themselves

  • Renewals remembered by luck

    Expirations tracked

  • A new contract: 60 to 120 minutes

A new contract: about 30 seconds

These numbers describe my own operation, with 53 tenants. Yours will be different — but the shape of the problem rarely is.
